STRACHUR MEMORIAL HALL EXECUTIVE COMMITTEE AND USER GROUPS,

HELD ON SUNDAY 23rd OCTOBER 2022 IN STRACHUR MEMORIAL HALL

Introductions

Gordon welcomed everyone to the meeting.

 

 

2.

Finance

IL talked through the current finances and circulated year to date accounts. Fuel costs have risen massively.

The Committee has approved upgrading of the light fittings in the New Hall to replace bulbs to improve quality of the colour of lighting.

The floors in both halls are also going to be renovated. It is hoped to get a grant to cover part of this costs

Cleaning costs – extra cleaning was required due to COVID but it is felt that this can now be reduced. One suggestion was to reduce weekly cleaning and have a monthly deep clean. The groups are responsible for cleaning after use and this normally works well. The Committee will discuss and advise the user groups.

Current projects

Door opening devices – will be upgraded to be linked to the fire alarm with a master switch which can be used on leaving the Halls. This work will include emergency lighting properly.

 

Heating – issues with Halls being cold. Users were advised that the heating can be ‘advanced’ if necessary. Reps will show users how to do this when meeting with groups.

 

Health & Safety assessment – The Hub submitted various requests to the Committee many of which have been acted upon or are ongoing. Request for muster point and signs. *** UPDATE – signs and point in car park highlighted by one of the user groups on leaving the meeting ***

It is suggested that all groups of over 5 people should have an attendance register.

Also, all groups should have an evacuation policy. Agreed that user group reps will meet their groups to discuss their current procedure.

Concern over contents of locked cupboard in New Hall. Rep will ask for written policy and discuss concerns.

Requests from users

Community garden – now being maintained regularly. Community seems happy with arrangements for cutting grass etc and trees due to be pruned soon before winter.

Near Me

BW gave an overview of progress on this project. Funding has been received and the room will be prepared, equipment bought and a new lock fitted. The GP surgery are supportive. Plan to meet with Cairndow Hall who already have this project up and running. JP offered to assist with maintenance.

Projector & screen

IL is sourcing the identified equipment now funding is in place. Will be fitted in New Hall first.

Assistance with fundraising

Appeal to all users to consider grants which may be appropriate for individual groups or the Halls as a whole.

Clearance of middle cupboard in New Hall

All users will be asked to identify their own equipment (probably by adding stickers) within the cupboard before the end of November. After this, remaining equipment will be offered to other groups or disposed of appropriately.

Advertising of events

All groups encouraged to maximise publicity of events. There has been a disparity of attendance over recent months and much of this is due to different levels of advertising and publicity. Use Facebook, notice board, newsletter, road signs etc.

Teresa will be stepping down next year. She was thanked for all of her hard work on this valuable resource for the Halls.
